Contacts and addresses

  • Each contact has a type: Requestor, Attention to, Procurement or Other.
  • Mark one contact of each type as the default; it is picked first on RFQs and quotations. A new quotation is addressed to the RFQ's requestor, or to the default Attention-to contact, and lists the default Procurement contact.
  • Add contact and Add address in each panel header open a dialog. Edit on a contact opens the same dialog with its details filled in.
  • Add as many delivery addresses as the customer needs, with one default.

Deactivate and merge

  • Deactivate hides a customer from new RFQs and quotations. Nothing is deleted.

  • Merge combines a duplicate into the record you keep. You type the company name of the duplicate to confirm, and give a reason.

    Who can merge:AdminManager

Merging moves the duplicate's RFQs, quotations, contacts, delivery addresses and price history to the record you keep. The duplicate is then deactivated.

What a customer merge moves.

Product Master

The Product Master (Parts) lists every part number the company has quoted, with its revisions. New parts are added automatically when you add an RFQ line with a part number that is not there yet.

Adding or editing an RFQ line also fills in the revision's description, material grade, manufacturer and manufacturer ref when they are empty. Details already on the part are kept, and Validated revisions are never changed.

New and Estimated prices are working figures. Only a Validated revision is used as a reference price.

Price history

  • Each time a quotation is issued, and each time a line is awarded, the price is added to the history.
  • Prices of revisions marked Estimated or Rejected are never added.
  • Prices are shown in the quoted currency and converted to MYR at the rate saved at the time.
  • Breakdown on a quoted row shows the costing behind the price: markup, cost per category, operations and quantity breaks, with a link to the line's costing. Older rows saved before breakdowns were kept have no button.
  • Viewers do not see price history.
